Audit Trail

Every project in ApprovIQ has a full audit trail that records all actions with timestamps, user details, and role information — useful for compliance, dispute resolution, and record-keeping.

What is Recorded

The audit trail captures all project activity:

Action TypeDetails Recorded
Item status changesWhich item, old status, new status, who changed it
Document uploadsWhich item, filename, file type, who uploaded it
Document stampsWhich document, stamp details, who stamped it
Document revocationsWhich stamped document was revoked and why
CommentsWhich item, comment text, who commented
Team changesInvitations sent, accepted, revoked; role assignments

AI check resultsWhich checks ran, results, confidence scores

Viewing the Audit Trail

The audit trail is accessible from the project detail page. All project members can view the complete history, which shows:

  • Timestamp — when the action occurred
  • User — who performed the action (name and email)
  • Role — the user's role on the project at the time of the action
  • Action — what was done
  • Details — additional context (e.g., the specific item or document affected)

Events are displayed in reverse chronological order (newest first) and can be filtered by action type or user.

Why It Matters

Compliance

Construction certification requires a clear record of decisions. The audit trail provides evidence of:

  • When documents were submitted and reviewed
  • Who approved each item and when
  • What checks were performed
  • Complete communication history

Dispute Resolution

If a question arises about a decision, the audit trail provides the definitive record of what happened, when, and by whom.

Quality Assurance

Approvers can review the audit trail to ensure their team (co-approvers) is following proper review procedures and that nothing has been overlooked.
