Projects

A project is the central entity in ApprovIQ. It represents a real-world construction project that requires certification or approval, and it ties together the approver, applicant, approval list, documents, and all related communication.

Project Lifecycle

Projects progress through three stages:

Draft

When a project is first created through the project wizard, it begins in Draft status. During this stage:

  • Only the approver can view and edit the project
  • The approval list is being built
  • Team invitations have not been sent
  • Payment has not been completed

A project remains in Draft until the approver completes the wizard and payment.

Active

Once payment is confirmed, the project becomes Active:

  • Invitations are sent to the applicant and any co-approvers or collaborators
  • The applicant can begin uploading documents
  • AI document checks run on new submissions
  • All team members can view the project and add comments

This is the main working state where document submission and review happens.

Completed

When all approval list items have been satisfied (or marked as not applicable), the project can be marked as Completed:

  • The project is archived and no longer appears prominently on dashboards
  • All documents and history are preserved
  • The approver and co-approvers can still access the project for reference

Project Information

Each project stores key information:

Custom fieldsApprovers can define additional information fields specific to their workflow

Project Team

Every project has defined team roles:

  • Approver (1) — the project owner who reviews and approves documents
  • Applicant (1) — the person submitting documents for approval
  • Co-approvers (0+) — additional certifiers who assist with reviews
  • Collaborators (0+) — external parties with view and comment access

Project Settings

Approvers can configure various project settings:

  • Custom statuses — define additional status labels for approval list items beyond the defaults
  • Information fields — add custom fields to capture project-specific data
  • Anonymous access — optionally allow unauthenticated users to view the project via a shared link

Dashboard

All users see their projects on the dashboard after signing in:

  • Approvers see all projects they own, with summary counts of item statuses
  • Applicants see projects they have been invited to, with their submission progress
  • Co-approvers and Collaborators see projects they are participating in
